The Home & School Association(HSA) puts on events and programming for SES families, fundraises to provide financial support to the school, and works with the school on a variety of initiatives. Last year the HSA led the Saints Ultimate Challenge fundraiser to purchase Smart Boards for classrooms, ran used uniform sales, assisted with the talent show and family picnic, and hosted teacher appreciation events, among other things.

HSA BOARD POSITIONS

The HSA officers make up the HSA Board. Officer positions and duties may change from year-to-year depending on School and HSA needs.The Board typically meets once per month, with more frequent meetings when needed. For example, the Board may meet more often leading up to the Saints Ultimate Challenge and Fall Festival. Meetings are held in-person, by video, or by phone as determined by the Board. Every effort is made to be flexible with Board meetings so as to accommodate officers’ schedules. The HSA has a host of volunteer needs and is accommodating of all schedules.

 

 

Officer Positions Descriptions

 

President/Co-Presidents: Oversees all HSA functions, responsibilities & funds. Is the liaison between the Principal and the HSA. Submits annual report of HSA activities to the Principal, HSA Board, and HSA membership. 

 

Vice President: Acts as an aide to the President(s) and performs the duties of the President(s) in the absence or inability of that officer to serve.

 

Treasurer: The Treasurer shall serve as the custodian of HSA funds. Working with the President(s), the Treasurer shall propose a yearly budget for the HSA Board to approve and will amend and allocate funds throughout the year as necessary. Maintains all financial books and records with the assistance of the Church Office. With the President, submits an annual budget report to the Principal and HSA membership. 

 

Secretary: Takes minutes of each HSA meeting and maintains electronic copies of all HSA documents in Google Drive account. Maintains the active HSA volunteer contact list with Volunteer Coordinator. Assists with other HSA administrative tasks.

 

Social Media Chair: Works with Church and School to document and promote HSA activities and events. Works with the Secretary and Marketing Manager to advertise HSA events and programming to the School and Church community. 

 

Fundraising Coordinator: In coordination with the School, manages the HSA’s fundraising activities, particularly the Saints Ultimate Challenge.

 

Volunteer Coordinator: Coordinates volunteers for HSA events and school activities. Collects list of general volunteers at beginning of year. Work with teachers, staff, and leaders of committees to assure volunteers are recruited for programs and events. Serves as a liaison between Room Parents and HSA. 

 

 

Officer Duties

 

President/Co-President - Duties

a. Preside at all meetings.

b. Present any new business.

c. Be the official spokesperson for the organization.

d. Act as custodian of all records of the organization.

e. Recruit committee chairpersons.

f. Deliver to the successor in office, all records in his/her possession by fiscal year end.

g. Work with the Principal to determine the annual HSA calendar for the upcoming year.

h. Submit a written annual review to the Board, Principal and HSA members.

i. Sign contracts on behalf of the HSA.

 

Vice President - Duties

a. Aid the president.

b. Perform the duties of the president in the event of that officer’s absence or inability to serve.

c. Act as liaison between committees and Board.

d. Deliver to the successor in office, all records in his/her possession by fiscal year end.

e. Assist president with a written annual review to the Board, Principal and HSA members.

 

Secretary - Duties

a. Prepare the agenda for the General Membership meetings with the assistance of the President.

b. Prepare any materials needed for distribution or reference at General Membership meetings.

c. Take minutes at HSA Board and General Membership meetings.

d. Finalize minutes, obtain necessary approvals, and post minutes in a timely manner.

e. Keep the files of communications, papers, and documents belonging to the organization.

f. Shall deliver to the successor in office, all records in his/her possession by fiscal year end.

g. Assist president with a written annual review to the Board, Principal and HSA members.

 

Treasurer - Duties

a. Be custodian of all organization funds, and shall be authorized to disperse funds on behalf of the HSA.

b.  Maintain all financial books and records with the assistance of the Church Office. 

c. Provide a monthly cash-flow report at HSA Board meetings.

d. Prepare a year-end financial report by fiscal year end.

e. Deliver to the successor in office, all records in his/her possession by fiscal year end.

f. With the President, submit an annual budget report to the Principal, Board, and HSA membership. 

 

Social Media Chair- Duties

a. With the assistance of the Marketing Manager and Principal, prepare any correspondence and publicity for the organization as needed, including meeting announcements, events and periodic newsletter write-ups.

b.Deliver to the successor in office, all records in his/her possession by fiscal year end.

 

Fundraising Coordinator - Duties

a. In coordination with the School, manages the HSA’s fundraising activities, particularly the Saints Ultimate Challenge.

b. Work with other Officers to plan and execute Saints Ultimate Challenge.

c.  Act as the liaison between any fundraising contractors and HSA Board.

 

Volunteer Coordinator - Duties

a. Coordinate volunteers for HSA events and school activities.
